BOD Meeting Minutes

February 20, 2007

Upcoming Events:

  • The invite for the Special Olympics swimming event April 14th at Widener University will be going out soon. The event is from 8  5, with shifts either 8  noon or 12:30  5.
  • April 13th is the Presidential inauguration for the new President. After the ceremony there is a student-organized carnival. We should consider including a "save the date" note on the bottom of all invites coming out over the next couple of month.
  • Young Alumni Happy Hour will be March 14th at the Public House. Justin is waiting to hear back from the Public House about the cost of a buffet which he estimates will be ~$12/person. It was suggested that we instead purchase a set amount of apps for a fixed cost of $100 - $150. Justin and Gina need to get the info to Lehigh in the next couple of days so that there is enough time to advertise the event.
  • Andrew reported that the March 18th concert at the Kimmel Center is not an orchestra concert but is a chamber concert. April 29th is the next Sunday orchestra event in Verizon Hall. Given the Special Olympics, Presidential Inauguration and the Crayola Factory, the Board decided to pass on the Kimmel Center event for the spring.
  • Crayola Factory with the Home Club is a go for April 21st. Lee will submit the event information to Lehigh as soon as possible.
  • Mike has made a considerable number of calls to get information about the Tut exhibit at the Franklin Institute:
    • Plan A  Have the entire event with some kind of food gathering at the FI. We would have to guarantee a certain # (~50) of tickets + 25% deposit. The only room available for us to rent costs $2,000 and requires a 50% deposit. Additionally, we have to use the FI caterer and put down another deposit. Mikes estimate is that this event would cost ~$90/ticket
    • Plan B  Mike can use a conference room at his office (Mellon Bank Center at 18th and Market) to host a gathering before (or after) the exhibit. His office is about a 10 minute walk to the FI. There is no cost to use the room and we can use the firms caterer which is far less expensive than the FIs caterer. Some details to work out, like getting from the office to FI, all of the caterers fees (e.g., gratuity, set-up, flatware, etc.) and whether we can return to the FI any unused tickets. Estimate ~$45/ticket. The conference can handle 50 people comfortably.
    Jill will also look into getting a speaker for the event. Proposed date is June 10th. Attached are the various packages and pricing offered by the caterer.
  • Hillar has finalized the date for the golf outing for June 8th (Friday ~noon). Hillar reported he is also working with the Home Club to pick a date for a fall golf outing.
  • Lights of Liberty in August  details TBD by Melissa and John.
  • Melissa will organize the 3rd annual October family hayride and pumpkin picking. Joann also suggested a possible October haunted hayride as a young alumni event  Gina will follow up.
  • President reception  Fall 2007 Jill to provide details when they are available.
  • The Club would also like to go back to PhilaBundance for our fall community service project.
  • Lehigh at Penn wrestling  Melissa to follow up with Dave, President of the Wrestling Club, on the date.
  • Jill will distribute the most recent Club guide so that we can fill all open positions, such as Secretary, Young Alumni Membership chair, Career Advancement chair, Community Service chair, etc.
  • Joann reported that she received a letter from Helium Nightclub, a new comedy club in Rittenhouse, that we should consider them for a possible happy hour. Also suggested maybe doing a singles event there.

Next meeting is brunch March 25th @ the Radnor Hotel 11:00  1:00. Jill will not be available to make the meeting, but has generously agreed to reimburse the club for the meeting expenses.
